General Statement of Job
This position provides routine administrative support for various functions of the assigned department and unit. Such duties include processing mail; maintaining records, charts, and reports; and providing general information to the public and other Edward J. Healey Rehabilitation and Nursing Center personnel. Incumbents acquire department-specific knowledge and expertise through experience, and develop the ability to perform more complex tasks as a result of such.
Specific Duties and Responsibilities
Performs keyboard tasks in updating, maintaining, and assembling various department records, charts, reports, claims, and files as applicable to assigned department.
Operates a variety of common modern office equipment in performing essential functions (e.g., telephone systems, copy machines, computer terminals, printers, facsimile machines, scanners).
Performs customer service when applicable; meets and greets residents, visitors and others.
Responds to both written and telephone concerns and inquiries from the public, other personnel, and outside agencies; resolves the concern or directs to appropriate entities.
Answers and screens incoming phone calls and directs calls to the proper place.
Schedules outside appointments for residents with other healthcare providers in accordance with physician orders.
Arranges for appropriate type of transportation and correct provider for residents based on their clinical needs and payor source, When transportation is being provided by the facility transportation, coordinates with Support Services to ensure availability of transport services. Identifies which residents need to be accompanied by a C.N.A. Conveys that information to the Staffing Coordinator in advance.
May be required to accompany residents to outside appointments.
Confirms date, time and correct address of appointments one day prior to appointment.
Prepares information to accompany residents to appointments and ensures appropriate notes and results from the appointment are received at the facility.
Prepares payment approvals and authorizations for residents without insurance. Completes the approval referrals and authorizations and forwards for approval in advance of all appointments.
Prints various letters, resident labels, records, reports, and related documentation; makes copies of such where applicable; distributes to appropriate entities.
Maintains, updates, and manages department filing system, including retrieving files, records, reports, and charts as directed.
Reviews various forms, records, charts, and applications as applicable to assigned department to ensure information is accurate, complete, and current.
Acts as liaison between the department, other departments, and outside agencies, gathering and relaying information as needed.
Assists other employees by relaying instructions, coordinating efficient work flow, and requesting information as needed.
Processes, sorts, and distributes incoming and outgoing mail when applicable to assigned department.
Monitors department materials and supply inventory; submits orders for supplies as needed.
Maintains schedules for lab tests, consultations, follow-up visits, diagnostic tests, etc. and maintains and circulates a list of outside resident medical appointments. Schedules laboratory tests and radiology tests ordered so they are completed as ordered. Prepares and maintains the list of lab tests for the upcoming day and forwards to lab and DON. Leaves a copy for the lab technician at reception daily. Confirms that results from laboratory and radiology tests are received in a timely manner and conducts follow up as needed to obtain the results via telephone or fax. Communicates the results to the Nurse Manager and A.R.N.P./physician.
Performs thinning of charts according to the facility policy.
Does requisitions for interdepartmental services when there is a new or changed treatment order (i.e., diet, OT, PT, SLP)
Completes requests for repair and maintenance using the facility on-line requisition.
Maintains resident medical records including preparing chart for new admissions, filing reports, etc to current medical record, thinning records and preparing closed files for Medical Records. Keeps coding of records current.
Updates resident face sheets and places new information in the medical record in the absence of Medical Records as authorized.
Prints reports daily from the Electronic Medical Record system (reports requested by the Nurse Manager) and identifies problems for the Nurse Manager.
Prepares list for podiatry and for dental services.
Prepares assignment sheets for each shift for the next 24 hours or in advance of the weekend under the supervision of the Nurse Manager.
Works on other units as needed based on staffing requirements.Emergency duty may be required of the incumbent that includes working in Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
High school diploma or GED required.
Any previous experience or training that demonstrates ability to perform routine administrative support functions.
CPR certification required.
State of Florida, Department of Health Certified Nurse’s Assistant required.
