Under the direction of the department manager, oversees the day-to-day operations of department and employee performance. Exercises discretionary judgment in solving problems and working with employees. Duties include supervision of: referral testing services, personnel and resources, quality control, and client interaction. Works with other lab areas, clients, department and staff, as required. Applies knowledge of anatomic structure and physiological and psychological process to provide appropriate service to neonate, pediatric, adolescent, adult and geriatric patients, and patients with special needs.
1. Effective organization of staff and workload
Ensures that adequate trained and experienced staff is available to perform specimen processing, specimen transport, computer registration, review send-outs and report results. Also ensures that each shift has appropriately cross-trained lead and/or charge laboratory assistants to support staff. The Supervisor compiles and reviews training and work performance records of staff with data compiled by Lab QA/QC Coordinators or the Client Services database.
Maintains staffing budget targets. Responsible to compile, review and meet daily, biweekly and monthly workload and staffing targets. Reviews monthly budget summaries with the operations manager and offers feedback/input on budget projections, etc.
Resolves problems in a positive and effective manner inter- and intra-departmentally to meet customer needs.Coordinates multiple tasks and priorities for all functions and areas of responsibility.
Under the direction of the department manager, is responsible for:
- Staff training including safety training.
- Coaching and mentoring of staff relative to job performance; assists manager with performance appraisal and disciplinary action as requested.
- Assists in the hiring and firing process.
- Management-support tasks.
- Assists with payroll and budgetary processes.
- Quality planning and monitoring.
- Maintains staff work schedules and vacation requests.
- Maintains or delegates inventory control for supplies; orders supplies or delegates as necessary.
- Assists with staff in-services and department meetings.
2. Practices/procedures and equipment are maintained to keep department current and productive.
- LIS/Specimen Handling
Able to employ the clinical and laboratory information systems to enter specimens into the system, follow specimens throughout the system, enter and report test results, provide information on patient demographics, look-up past results and employ any additional LIS functions required to perform the duties described in this document.
Able to perform venipuncture and capillary collections appropriate for the age of the patient in a professional manner and with minimum discomfort.
- Specimen Processing
Maintains current knowledge of appropriate specimen processing, aliquoting, storage, transfer lists and transport requirements for all tests and specimens.
Able to perform standard laboratory analyses accurately according to published procedures and turnaround times. Able to validate results which includes, but is not limited to, recognizing questionable results, investigation of the cause(s) of questionable results and finally to take appropriate action regarding release of test result to customer.
- Instrumentation and Operations
Able to operate standard laboratory instrumentation in the department(s) according to published operating procedures; to perform maintenance on said equipment and to make appropriate decisions regarding repairs; to arrange for alternative testing as described in the SOPM.
- Test Interpretation
Able to communicate written and verbal information to customers regarding appropriate specimen collection, transport, and test methodology. Able to handle client service issues at all levels appropriately, courteously and effectively with a customer focus.
Able to perform administrative tasks such as ordering supplies and maintaining records, and/or training technical staff in writing laboratory procedures as assigned by the section manager and/or appropriate Legacy Laboratory Services system-wide committees.
3. Each aspect of service provided: satisfying customers, leading and empowering people, continually improving/preventing errors, managing with data.
- Procedure Documentation
Able to write test procedures using approved NCCLS or Legacy Laboratory's formats, and update documentation manuals with test changes and annual reviews.
- Quality Control and Quality Assurance Monitoring
Monitors the quality control program for given lab section(s), review results, take corrective action when necessary, and report results regularly.
- Instrument Maintenance Monitoring
Monitors the maintenance program for instruments in given lab section. Ensures that preventative maintenance is done and records are complete. Serves as resource when instruments malfunction and helps resolve problems.
- Regulatory Accreditation/Licensure/Certification Preparedness
Able to apply standards necessary for accreditation to assess readiness and develop an action plan to ensure preparedness, and implement the plan when approved.
- Competency Program Monitoring
Able to provide site coordination for competency testing program in specialty area.
Able to monitor competency program and maintain department records. Able to follow up with staff as needed.
- Proficiency Testing Program Monitoring
Able to coordinate the proficiency testing program for specialty area, including CAP surveys. Able to investigate failures, suggest corrective action, and write exception reports when needed.
- Teaching & Training
Able to coordinate the training program for given lab section. Ensures that new staff and cross training staff receive adequate training. Training checklists are used and initial competencies are completed and correctly documented. Assists manager in organizing individual's training program.
4. Demonstrates knowledge of Computer Downtime Procedure.
- Understands, for given job assignment, how to manage patient/specimen data when either the Order Communication (CIS, E-Chart, EPIC), client practice management system or Laboratory Information System (Cerner Millennium) is unavailable for use.
Bachelors Degree or equivalent experience required. Certification or functional process knowledge in evidential breath alcohol and drug collection testing preferred.
Three years of additional Laboratory training or experience required to include phlebotomy, specimen processing, and working in conjunction with referral lab services. At least one year of supervisory experience preferred.
