Summary:
In accordance with policies and procedures of CHRISTUS Health, provides administrative support to the Director of the Cardiovascular Service Line. Performs various clerical duties and prepares reports, utilizing knowledge of office systems, procedures, and interdepartmental functions. Interfaces with all levels of associates and members of the community. Answers telephone, routes calls, takes messages, and gives non-medical information. Schedules meetings, transcribes meeting minutes and works on multiple projects independently. Must be organized, have exceptional attention to detail, and possess effective communication skills. Computer literacy is vital to the role, as is the ability to train and direct others.
Responsibilities:
- Meets expectations of the applicable OneCHRISTUS Competencies: Leader of Self, Leader of Others, or Leader of Leaders.
- Responsible for performing clerical tasks of a routine but varied nature in conjunction with providing administrative support for the Cardiovascular Service Line including the bariatric surgery program.
- Sorts, distributes, and/or files incoming documents and other correspondence.
- Compiles data for director and other CV service line supervisory leaders.
- Maintains daily, monthly, and quarterly reports.
- Responsible for data from these reports and reporting data to associates within the hospital as needed.
- Answers telephone, routes calls, and takes messages.
- Proofs materials for errors and ensures layout is in keeping with CHRISTUS format.
- Assists with the disposition of obsolete files in accordance with CHRISTUS established schedules for retiring files or per legal requirements.
- Performs various clerical duties and prepares reports, utilizing knowledge of office systems, procedures, and interdepartmental functions.
- Responsible for assisting the CV director in all aspects of the department.
- Follows up on calls from Service Line.
- Drafts correspondence, speeches, presentations, press materials/ announcements.
- May also have a hand in developing staff and board presentations, annual reports, and policy manuals.
- In some instances, the assistant will be an office liaison with outside business organizations and industry associations.
- Schedules functions and appointments, ensuring that meetings, presentations with deadlines, and other duties of the CV service line are carried out seamlessly.
- Demonstrates the ability to communicate effectively with people, ensuring that the CV service line is perceived as an approachable, viable resource.
- Exhibits the traits of enthusiasm, motivation, and a pleasant personality in the workplace.
- Accepts responsibility to represent the facility in a neat, clean, and well-groomed appearance.
- Follows department dress code.
- Ensures that the CV service line is represented as a responsive, service-oriented group of departments.
Requirements:
Education/Skills
- High School diploma or equivalent preferred
Experience
- 1 – 3 years of experience preferred
Licenses, Registrations, or Certifications
- BLS required
